Gmail filters automatically apply actions to incoming emails based on rules you define. Every filter has two parts: a condition (what to look for) and an action (what to do with matching emails).
Creating Your First Filter
- Click the search bar in Gmail and then click the small filter icon (sliders) on the right side
- Set your conditions (from a specific sender, containing specific words, with attachments, etc.)
- Click "Create filter"
- Choose your actions: apply a label, skip the inbox, mark as read, star it, forward it, or archive it
Practical Filters for Kenyan Professionals
M-Pesa notifications: Create a filter for emails from Safaricom containing "M-Pesa" or "transaction." Apply a label called "M-Pesa" and skip the inbox (archive automatically). The emails are saved and labeled but do not clutter your main view. When you need to check a transaction, search the M-Pesa label.
Client communication: Filter emails from your top clients by their domain name (e.g., from:@clientcompany.co.ke). Apply a specific label and star them. This ensures client emails are immediately visible and organized.
Newsletters and subscriptions: Filter emails containing "unsubscribe" (nearly all newsletters include this word). Apply a "Newsletters" label and skip the inbox. Read them when you have time, not when they arrive.
Invoice and payment emails: Filter emails with subjects containing "invoice," "receipt," or "payment." Apply a "Finance" label. This creates an automatic financial paper trail.
Advanced Filter Tips
You can combine conditions. For example: from:supplier@example.com AND has:attachment AND subject:invoice. This catches only invoiced emails with attachments from a specific supplier.
Filters can also forward emails automatically. If your accountant needs copies of all invoice emails, add a forwarding action to the finance filter. Confirm the forwarding address first in Gmail settings.
Filters apply to new incoming emails by default. When creating a filter, you can check "Also apply filter to matching conversations" to retroactively organize existing emails. This is useful when setting up filters for the first time.
Labels: Organization That Scales
Labels in Gmail work like folders, except one email can have multiple labels. An email from a client about an invoice can carry both the "Client-X" label and the "Finance" label simultaneously.
A Label System That Works
Start with broad categories, then add specifics as needed:
- Clients/ (with sub-labels for each client: Clients/Acme, Clients/Safaricom, etc.)
- Projects/ (with sub-labels for each active project)
- Finance/ (Invoices, Receipts, Quotes)
- Action/ (To Reply, To Review, Waiting)
The "Action" labels deserve special mention. When you process your inbox, labeling emails with "To Reply" or "Waiting" creates a built-in task list. Click the "To Reply" label to see only emails that need your response.
Color-Coding Labels
Right-click any label in the sidebar and choose "Label color." Use colors consistently:
- Red for urgent or overdue items
- Green for completed or paid items
- Blue for client-related labels
- Yellow for items that need your action
Color coding gives you an instant visual overview. When you see a red label count increasing, you know something needs attention.
AI Features: Smart Compose and Smart Reply
Gmail's built-in AI features work on the free tier for every Google account.
Smart Compose
As you type an email, Gmail suggests completions in light gray text. Press Tab to accept a suggestion. Smart Compose learns from your writing patterns over time, so suggestions improve the longer you use it.
This saves keystrokes on common phrases. If you frequently type "Please find attached the document as discussed," Smart Compose will suggest it after you type the first few words.
Smart Reply
At the bottom of incoming emails, Gmail suggests three short replies. These are context-aware. An email asking "Can we meet on Tuesday?" might generate suggestions like "Yes, that works for me," "Sorry, I am not available Tuesday," and "Let me check my schedule and get back to you."
For quick acknowledgments and simple responses, Smart Reply saves the effort of composing from scratch. It handles about a notable share of responses for many users, the quick "Thanks," "Got it," and "Sounds good" messages that take 30 seconds each but add up across dozens of emails.
Gemini in Gmail
For Workspace or Google One AI Premium subscribers, Gemini adds more advanced capabilities:
- Draft replies: Click the Gemini icon to generate a full draft reply. You can specify tone (formal, casual) and length.
- Summarize threads: For long email chains, ask Gemini to summarize the key points and action items.
- Polish writing: Select text in your draft and ask Gemini to improve clarity, formality, or conciseness.
These are particularly useful for emails that require careful wording, such as client proposals, complaint responses, or negotiations.

The real power comes from combining these features:

A typical morning workflow becomes: Open Gmail, see that filters have already sorted newsletters, notifications, and routine messages. Your inbox contains only emails that need your attention.
