What Auto-Reply Features Does the Free App Include?
Before touching settings, it helps to understand what the WhatsApp Business App offers at no cost. There are three distinct features, each solving a different problem.
Greeting messages send automatically when someone messages your business for the first time, or when they message again after a period of inactivity (you choose the time window). This is your "Hello, thanks for reaching out" message. It fires without you lifting a finger.
Away messages send automatically when you receive a message outside your set business hours, or when you manually toggle the away status on. This tells customers you are not available right now and when you will be.
Quick replies are not automatic in the same way. They are pre-written message templates that you trigger manually by typing a shortcut (like "/hours" or "/prices") during a conversation. They save you typing the same paragraphs repeatedly, but you still initiate them yourself.
Together, these three features handle the most common pain point for Kenyan small businesses on WhatsApp: answering the same basic questions over and over.
How to Set Up Your Greeting Message
Open WhatsApp Business on your phone. Go to Settings (the three dots menu), then Business Tools, then Greeting Message.
Toggle "Send greeting message" on. You will see a text editor for your message.
Write a greeting that answers the questions every new customer has. Do not just say "Hello, welcome to our business." Give useful information immediately. A good greeting message for a Kenyan small business includes: what you sell or do, your location, your hours, how to place an order, and a link to your price list or catalog if you have one.
Example for a Nairobi catering business:
"Hi! Thanks for contacting Mama Joy's Kitchen. We do event catering and daily lunch deliveries across Nairobi. Our menu and prices: [Google Drive link]. To order, please share: date, number of guests, and your location. We respond Mon-Sat, 7am-7pm. Orders placed by 9am ship same day."
Example for a salon in Mombasa:
"Welcome to Bella Hair Studio! We are on Moi Avenue, opposite City Mall. Services: braiding, styling, treatments, nails. Walk-ins welcome Mon-Sat 9am-7pm. To book ahead, reply with your preferred date and service. Price list: [link]."
Under "Recipients," choose who gets the greeting. "Everyone" is the safest default. You can also restrict it to people not in your contacts, or to specific contacts. For most businesses, "Everyone" works best because even existing customers may not remember your details.
Set the inactivity timer. This determines how long a customer must be inactive before they receive the greeting again if they message you later. The default of fourteen days is reasonable. Setting it shorter means returning customers get the greeting more often, which can feel repetitive.
How to Set Up Your Away Message
In the same Business Tools menu, tap Away Message. Toggle it on.
Your away message should tell customers three things: that you are not available right now, when you will respond, and what to do if their matter is urgent.
Example:
"Thanks for your message. We are currently closed and will respond when we reopen at 8am tomorrow (Mon-Sat). If you need something urgently, please call 0712 XXX XXX."
Under "Schedule," you have three options: "Always send" (away message goes out all the time, useful when you are on holiday), "Custom schedule" (you set specific hours), and "Outside of business hours" (uses the hours from your business profile).
"Outside of business hours" is the cleanest option for daily use. Make sure your business hours in your WhatsApp Business profile are accurate, because the away message uses those hours to decide when to fire.
Under "Recipients," the same options as greeting messages apply. "Everyone" is the safe default.
One important detail: the away message does not replace the greeting message. If a brand-new customer messages you outside business hours, they receive the greeting message first. The away message fires for subsequent messages or for returning customers during off-hours. This means your greeting message should work well on its own at any hour, not just during business times.
How to Set Up Quick Replies
Quick replies live under Business Tools as well. Tap Quick Replies to view and create them.
Each quick reply has three parts: a shortcut (what you type to trigger it, prefixed with "/"), the message text, and an optional media attachment (image, video, document).
Plan your quick replies around your most frequently asked questions. For a typical Kenyan small business, these are the most useful quick replies to create.
/prices with your current price list or a link to it. Update this whenever prices change.
/location with your physical address, a Google Maps link, and brief directions (landmarks help, since Kenyan addressing often relies on landmarks rather than street numbers).
/hours with your business hours, including any weekend or holiday variations.
/order with instructions on how to place an order. If you use a Google Form for orders, include the link here.
/mpesa with your M-Pesa payment details: Paybill or Till number, account name, and what to put in the account reference field.
To use a quick reply in conversation, type "/" in the message field and select the reply from the list, or type the shortcut directly (e.g., "/prices") and the message populates. You can edit it before sending if you need to personalize it for that customer.
You can store up to fifty quick replies. Most businesses use between five and fifteen. Quality matters more than quantity. A well-written quick reply that fully answers the question is worth more than five partial ones.
What Should You Write in Your Auto-Replies?
The content matters more than the feature. A generic "Thanks for your message, we'll get back to you soon" wastes the opportunity. Every auto-reply should reduce the customer's need to ask a follow-up question.
Be specific. Include actual prices, real addresses, concrete hours. Vague replies generate more questions.
Include links. Google Drive links to your price list, Google Maps links to your location, Google Form links for orders. Links move customers to the next step without waiting for you.
Use plain language. Write as you would text a customer. Short sentences. No corporate jargon.
Account for Swahili-speaking customers. If a meaningful portion of your customers communicate in Swahili, consider bilingual auto-replies. A greeting that opens in Swahili and continues in English covers both audiences. Example: "Karibu! Asante kwa kutuwasiliana. Welcome to [Business Name]..." followed by your details in English.
Keep it current. A quick reply with last month's prices or yesterday's special offer hurts more than it helps. Review your auto-replies at least monthly. Set a calendar reminder.
When Do You Need More Than the Free App?
The free WhatsApp Business App's auto-reply features cover the basics well. But they have clear limits.
You cannot create conditional replies (if the customer asks about cakes, send the cake menu; if about drinks, send the drinks menu). Every first-time customer gets the same greeting. Every off-hours message gets the same away reply.
You cannot send proactive messages. The free app only responds when a customer initiates. If you want to send appointment reminders, order updates, or payment confirmations to customers who have not messaged you first, you need the WhatsApp Business API.
You cannot integrate with other tools. The free app does not connect to Google Sheets, Make, or any external system. Everything stays inside WhatsApp.
For a solo operator or a small team handling under a hundred conversations daily, these limits are usually acceptable.
