What Zapier Actually Does
Zapier connects apps together so that an action in one app automatically triggers an action in another. The basic unit is called a Zap, which has two parts:
- Trigger: Something happens (a new form submission, a new email, a new row in a spreadsheet)
- Action: Zapier does something in response (sends a message, creates a record, updates a file)
For example: When someone fills out a Google Form (trigger), Zapier automatically sends them a WhatsApp message via Twilio (action). Or when you receive an email with an attachment (trigger), Zapier saves the attachment to Google Drive (action).
You do not need to write code. Zapier handles the technical connection between apps through a visual interface.
Setting Up Your Account (Minutes 1-3)
Go to zapier.com and sign up with your Google account or email. The free plan gives you:
- 100 tasks per month (a "task" is each time a Zap runs an action)
- 5 active Zaps
- Single-step Zaps (one trigger, one action)
This is enough to build and test your first automation. No credit card required.
Once signed up, you land on the dashboard. You will see a big orange "Create" button. That is where we are headed, but first, let us choose what to automate.
Choosing Your First Zap (Minutes 3-5)
The best first automation meets three criteria: it is simple, it runs frequently, and you can verify it worked. Here are good first Zaps for Kenyan users:
Option A: Google Form to Google Sheet notification. When someone submits a form, get an email notification with the details. (Good if you use forms for orders or inquiries.)
Option B: Gmail to Google Sheets logging. When you receive an email from a specific sender or with a specific label, log the subject and date to a spreadsheet. (Good for tracking client communications.)
Option C: Google Calendar to email reminder. Before a calendar event starts, send yourself a preparation email with event details. (Good if you manage multiple appointments.)
We will walk through Option A as our example, but the process is identical for any Zap.
Building Your First Zap Step by Step (Minutes 5-12)
Step 1: Create the Trigger
Click "Create" then "Zaps" from the dashboard. You will see the Zap editor with a trigger step already waiting.
Click on the trigger step and search for "Google Forms." Select it. You will see a list of trigger events. Choose "New Response in Spreadsheet" (this captures form responses that flow into a linked Google Sheet).
Connect your Google account when prompted. Zapier will ask for permission to access your Google Forms. Grant it.
Select the specific form you want to monitor. If you do not have one, pause and create a simple Google Form with 2-3 questions (Name, Email, and a message field). This takes about 2 minutes.
Click "Test Trigger." Zapier will look for a recent form submission to use as test data. If your form is new, submit a test response first, then come back and test.
Step 2: Create the Action
Click the plus icon below the trigger to add an action. Search for "Gmail" and select it. Choose "Send Email" as the action event.
Connect your Gmail account (it may already be connected from the trigger step).
Now configure the email:
- To: Your email address (for testing)
- Subject: "New form submission from" and then click in the field and select the Name field from your form data
- Body: Map the form fields here. Click in the body field, and you will see options to insert data from the trigger (Name, Email, Message, etc.)
For example, your email body might read: "New submission received. Name: [Name field]. Email: [Email field]. Message: [Message field]."
Step 3: Test the Action
Click "Test" to send a real test email. Check your inbox. If you see the email with the test data from your form, the Zap works.
Step 4: Turn It On (Minutes 12-15)
Click "Publish" to activate your Zap. From now on, every time someone submits your Google Form, you automatically get an email with their details.
Submit another test response to your form and wait a few minutes. The email should arrive automatically. If it does, congratulations, you have built your first automation.
Understanding Zapier's Free Plan Limits
The free plan's 100 tasks per month sounds limited, but for many small automations it is enough. Each time a Zap runs successfully, it counts as one task (multi-step Zaps count one task per step). If your Google Form gets 5 submissions per day, that is about 150 tasks per month for a single-step Zap, which means you would need the Starter plan.
Starter plan: USD 19.99/month (billed annually) gives you 750 tasks/month and multi-step Zaps. For Kenyan users, this works out to roughly a monthly subscription fee. Pay with a Visa or Mastercard (virtual dollar cards accepted).
Free plan strategy: Start with the free plan. Track how many tasks you use in the first month. If you stay under 100, you can run your automation indefinitely at no cost. If you go over, you know exactly which Zap is worth paying for.

Can I automate WhatsApp messages with Zapier?
Not directly with the WhatsApp Business App. Zapier integrates with the WhatsApp Business API (through providers like Twilio or 360dialog), but this requires API access and typically a business verification process. For simple WhatsApp auto-replies, the WhatsApp Business App's built-in features may be sufficient.
What happens if my Zap breaks?
Zapier sends you an email notification when a Zap encounters an error. Common causes include expired app connections (re-authenticate the app), deleted source data (the form or sheet was removed), or changed permissions. You can fix most issues by editing the Zap and reconnecting the affected step.
